Operational Accounting Specialist, Melville NY

  • Bachelor's degree in Business or Accounting or a minimum or 4 years' relevant work experience required.

The Operational Accounting Specialist's key responsibilities include accurately maintaining our vendor databases, managing all purchasing credit card transactions through completion of invoicing, processing coop & rebate transactions and assisting with returned checks, outstanding checks and duplicate payment review. This role requires the ability to make solid business decisions based on common sense and sound accounting principles.

DUTIES AND RESPONSIBILITIES:

  • Set up and/or update the vendor master in SAP and AS400 systems following established procedures and guidelines. This includes ensuring both systems are aligned and banking data is valid and entered accurately.
  • Resolve and reconcile purchasing credit card transaction issues by reviewing all relevant data and conferring with cardholders and sales associates.
  • Ensure purchasing card transactions and errors are processed within set guidelines by contacting cardholders to expedite and following up on outstanding charges.
  • Adjust purchasing card limits as needed for high dollar purchases in line with Finance policies.
  • Provide guidance to cardholders regarding processing transactions on the bank's system.
  • Process Coop and Rebate transactions after researching and obtaining proper approval.
  • Reconcile invoices which may include generating and reviewing reports and contacting vendors and/or associates to resolve discrepancies.
  • Assist with returned checks, outstanding checks and review of invoices flagged in continuous monitoring.
  • Generate and update various Excel files/reports for AP, Travel, Payroll and Treasury
  • Fosters the MSC Culture in the department and throughout the company to ensure fulfillment of MSC's vision and unity of purpose
  • Participation in special projects and performs additional duties as required

EDUCATION AND EXPERIENCE:

  • Bachelor's degree in Business or Accounting or a minimum or 4 years' relevant work experience required.
  • Minimum of two years' business experience required.

SKILLS:

  • Strong PC/Computer skills including Excel and Word are required; Access a plus
  • Excellent organizational and time management skills
  • Attention to detail and follow up skills critical.
